Introduction

PharmaTrack ("we," "our," or "us") operates the PharmaTrack mobile application (the "App"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our App.

By downloading, installing, or using the PharmaTrack App, you agree to the collection and use of information in accordance with this Privacy Policy.

Summary of Data We Collect and Transmit

The App collects the following categories of data and transmits some of this data from your device to our servers to provide App functionality:

Location data (LOCATION): Precise GPS coordinates and approximate location, including while the App is in use and, when permitted, in the background for field tracking.
Device or other identifiers: Device identifiers, installation IDs, Android ID or hardware-level device identifiers, and Firebase Cloud Messaging (FCM) tokens used for push notifications and account/device binding.
Account and business data: Name, phone number, login credentials, and business records you enter in the App.
Photos, files, and audio: Content you choose to capture, upload, or attach.

Location Data

The PharmaTrack App accesses and collects LOCATION data. This includes precise location (GPS coordinates) and approximate location from your device.

We use location data to:

Display your position on maps and show nearby chemists, stockists, hospitals, and doctors
Record visit locations, reporting locations, and field activity
Calculate distances and routes for tour planning and expense reporting
Send periodic location updates to our servers while you are logged in and location permission is granted (for live field tracking and workforce management)
Update business party locations (doctors, chemists, stockists, hospitals) on maps

How location is collected: The App requests Android location permissions including ACCESS_FINE_LOCATION, ACCESS_COARSE_LOCATION, and ACCESS_BACKGROUND_LOCATION when background tracking features are used.

Off-device transmission: Location coordinates are transmitted from your device to PharmaTrack servers over encrypted connections (HTTPS) when you use location-based features or when periodic location tracking is active during an authenticated session.

You can disable location access at any time in your device settings. Some App features will not work without location permission.

Device or Other Identifiers

The PharmaTrack App collects device or other identifiers. These identifiers help us secure accounts, deliver push notifications, and associate your login with a specific device.

Identifiers we may collect include:

Device ID / installation identifier: A persistent identifier generated or read from your device (such as Android ID or a hardware-level device identifier) to recognize your device across sessions
Firebase Cloud Messaging (FCM) token: A unique token used to send push notifications to your device
Device model and OS information: Basic technical information about your phone or tablet

How identifiers are collected: The App uses device identification features and the READ_PHONE_STATE permission on Android to obtain basic device information needed for security and notification delivery. We do not access your phone number, call logs, or make phone calls.

Off-device transmission: Device identifiers and FCM tokens are transmitted from your device to PharmaTrack servers when you register, sign in, or use notification features.

Information You Provide

Account information (name, email, phone number, company details)
Business records (doctors, chemists, stockists, hospitals, orders, visits, expenses)
Documents, photos, messages, and calendar entries you create in the App

Camera, Photos, and Files

The App uses your camera and file picker to capture or select photos and documents you choose to attach. We do not scan your entire photo library. The App uses the system photo picker on supported Android versions.

Permissions: CAMERA; legacy storage permissions on Android 12 and below only for saving files you export or download.

Audio Recording

The App may use the microphone (RECORD_AUDIO) only when you explicitly start a voice recording feature.

Push Notifications

We use Firebase Cloud Messaging (POST_NOTIFICATIONS on Android 13+) to send alerts, messages, and app updates. You can disable notifications in device settings.

Third-party SDKs may process data according to their own privacy policies. We configure the App to collect only data needed for its features.

Data Storage and Security

Data is stored locally on your device and on PharmaTrack servers. Data sent between your device and our servers is encrypted in transit using HTTPS/TLS. We apply access controls and security practices appropriate to the sensitivity of the data.

We retain data as long as needed to provide the service, support your account, and meet legal requirements. You may request account deletion by contacting us.

Request deletion of your account and associated data
Control permissions (location, camera, microphone, notifications) in device settings
Export reports and records where the App provides export features
